Sales Administrator

Permanent, full time position

This is a demanding but rewarding role, central to the continuing success of a small but dynamic sales office. The utmost flexibility and dedication to getting the job done and to customer satisfaction will be required. Working under a minimum of supervision and being capable of thinking on one’s own feet will be expected and the ability to cope well under pressure is essential. The successful candidate will be able to demonstrate a high degree of literacy and numeracy and attention to detail. Familiarity with the following software packages is expected: Microsoft Office (Word, Excel, PowerPoint; Outlook); Sage (accountancy). Familiarity with Symantec ACT (customer relationship database) is also highly desirable, although training can be provided.


Sales Order Processing

  1. Sales order processing, including maintenance of printed and computer records in Microsoft Word, Excel and Sage Accountancy software.
  2. Generation of internal order processing paperwork using Microsoft Word and Excel.
  3. Generation of order confirmation paperwork.
  4. Generation of sales invoices and delivery paperwork.
  5. Arranging export paperwork and shipment for returned goods.
  6. Tracking progress of sales orders with international suppliers.


  1. Answer queries from shipping companies on the import and export of goods within UK, Europe and Worldwide.
  2. Perform incoming inspection of all shipments, ensuring that the correct goods reach the customer, and that returned goods are correctly logged.
  3. Tracking shipments to ensure any delays are quickly resolved.
General Office Administration
  1. Assist with telephone reception.
  2. Maintain stocks of stationery and product literature.
  3. Help maintain and schedule demonstration and exhibition equipment.
  4. Assist with credit control.
